Where to Place Your Wedding Stationery on Your Wedding Day

When it comes to wedding stationery, it’s not just what you have, it’s where you place it. Thoughtfully positioned wedding stationery can elevate the experience for your guests, set the tone for each part of the day, and bring that all-important sense of flow to your celebration.

Whether you’re going for relaxed rustic vibes, timeless elegance, or something wildly romantic, here’s a little guide to help you decide where everything goes, because beautiful design deserves to be seen.


Welcome Sign

Where to place it: Right at the entrance to your ceremony or venue.

This is the first thing your guests will see, so it sets the tone for your day. Whether it’s propped on an easel or nestled into a floral installation, your welcome sign invites guests into your world. You can include your names, the wedding date, and a short greeting like “Let’s celebrate!” or “We’re so glad you’re here.”

If you’re having your ceremony and reception in different locations, consider having a second sign at the reception entrance too.


Timeline or Order of the Day Sign

Where to place it: Near your welcome sign, or just past it in a high-traffic area.

This sign is not only practical, it helps manage expectations, especially if you’ve got a few hours between the ceremony and meal. Let guests know what’s happening when, and keep the wording light and fun to match your vibe. A visual timeline with icons always goes down well!

Seating Plan

Where to place it: At the entrance to your dining area or marquee.

Your seating plan is a must-have if you’re doing assigned seating. It helps guests find their spot quickly and keeps the flow smooth. It’s best displayed before guests enter the reception space so they can take a moment to find their table. Whether it’s a large framed board, or an arrangement of individual cards, I love designing seating plans that really feel like a focal point.


Reserved Signs

Where to place them: On ceremony seats for VIPs.

Reserved signs help save seats for close family or anyone with a special role in your ceremony. They can be small, elegant tags tied with ribbon, or simple folded cards placed on chairs or pews.


Place Names (or Chair Tags)

Where to place them: On the tables at each setting, or tied to the back of chairs.

Place names are your moment to get a bit playful or personal. They help avoid the seating scramble and can double up as favours if you like. For something a little different, you could opt for chair tags, little cards tied with ribbon or twine to each guest’s chair. They add a lovely tactile detail, especially for boho, woodland or barn-style weddings.


Bar or Drinks Station Sign

Where to place it: On the bar or near your drinks station.

If you’re having signature cocktails or mocktails, or even a help-yourself drinks area, a lovely wedding stationery item to have is a sign here keeps things clear and adds a pop of personality.


Table Numbers or Names

Where to place them: In the centre of each guest table.

Essential for helping guests find their seats, table numbers or names should be easy to spot but still fit with your table styling. I love designing these to coordinate with your other on-the-day wedding stationery.


Menus

Where to place them: At each place setting, or one per table if you prefer.

Menus add a gorgeous layer to your table styling and give guests a little preview of the deliciousness to come. You can go for individual menus on each plate or a shared version that stands in the centre of the table. If you’re having a buffet or food stations, signage there is helpful too!


Guestbook Sign

Where to place it: Right by the guestbook table.

You’d be surprised how often guestbooks get missed, so a sign with a gentle prompt is always a good idea. You could go traditional with “Please sign our guestbook” or make it more playful with “Leave us a note for the future!”


Cards and Gifts Sign

Where to place it: On the designated table or area where guests can drop off cards and gifts.

Keep this spot easy to find but slightly tucked away so it doesn’t get in the way of the main event. A small sign here is so helpful, especially if you’re using a vintage suitcase, birdcage or postbox as your card holder.


Favour Tags

Where to place them: Tied to your favours or placed underneath/alongside them at each table setting.

If you’re giving favours, a little tag with your names, the wedding date, or a short message of thanks adds such a lovely, personal touch. It’s those little details that guests remember.
